Activity

Progress Report

1. Club Secretariat

  • The club established a Secretariat which has successfully been handling general club duties and administration. 
  • The Secretariat is supervised by the Secretary.

 

2. Maintain membership records.

  • A database of all members that includes all relevant details about the member is kept.

 

3. Monthly Attendance Report

  • This is done by the Secretariat and submitted before the 15th of the subsequent month.
  • Make Ups and participation in project and activities are incorporated where necessary.

 

4. Notices and record and preserve minutes of the club, board, and committee meetings.

  • Notices for meetings including Board meetings and inductions are circulated in advance to all members via email.
  • Board minutes including follow up action points are circulated to Board members in time.
  • Committee minutes circulated to the club to keep everyone abreast on activities. 

 

2009-10 Club Directory

  • This is in production and will be distributed to members by end September.

2. Rotarian Recognition

  • Rotarians who have excelled in various club projects are recognized throughout the year through commendations i.e. gifts and Lapel Pins.

3. Guest Speakers

  • We have a Programmes Officer to handle the schedule of guest speakers and names have been confirmed up to October 2009.
  • The list includes people covering diverse topics to cater for the interests of all members.

 

4. Club Assemblies in 2009-10

  • We had a Club Assembly in July the next ones are scheduled for September 2009, February and April 2010.

 

5. Sergeant At Arms

  • The Chief Sergeant At Arms continues to draw a list of members to perform this duty.  The list includes alternate Sergeant At Arms in case one is unable to make it.
  • We have different Sergeant At Arms at every meeting so as to expose all members’ especially new inductees.

6. Appreciation gifts to guest speakers

  • All guest speakers are presented with a gift by the President at the end of the meeting.

 

7. Revision of Club Constitution and Bylaws

  • This is ongoing and once finalised will be disseminated to all members.

 

8. Committee Meetings

  • The meetings where possible, are held at member’s residences so as to enhance fellowship and bonding.

9. Door Greeters/Reception Committee to welcome visitors and visiting Rotarians

  • A schedule of members to welcome guests at the door has been drawn for 2 months.
  • Visitors are kept company and introduced to members and told about the club.
  • New members have been placed with older members so that they get familiar with members.
  • Visitors are given Club Brochure that contains information on the club and Rotary.

  • Total membership currently stands at 101 members.
  • There are 72 men and 29 women. 
  • There are 9 Members Excused Attendance.
  • There are 101 Active Members.

Attendance and participation by members.

  • The Attendance Officer regularly submits the monthly Attendance Report.
  • Members who have missed at least 3 consecutive meetings are followed up through email, phone call.

 

Recruitment

  • 2 women are currently in the process of being inducted.
  • Attendance has been below expectations for some time now. Venue, time, meeting quality and ‘connections’ between old/new members have been identified as issues to be addressed during the year. 
  • Recruitment and retention of younger members, is an imperative recruitment strategy/plan to be developed; this will include actions to ensure that members are better orientated to the ideals of Rotary and become involved in projects from the onset

Progress Report

1. Club Accounts.

  • The club’s accounts are currently being reviewed and streamlined.
  • The club manages a Kenyan Shilling account and a US Dollar account to handle foreign transactions.

 

2. Rotary International and District Dues

  • The club has paid Rotary International and District dues.

 

3. Receiving and disbursing funds.

  • A Project Accounting Form has been developed to assist in tracking funds.
  • A Project Monitoring Form has also been developed to track fund allocation. 

 

4. Preparing and submitting regular financial reports to the club/Board.

  • Monthly financial status report presented is presented at Board meetings.

5. 2009-10 Budget.

  • A comprehensive budget that caters for all aspects of the club has been developed. 

6. 2009-10 subscriptions

  • Collection of subscriptions is currently ongoing and all should be paid by the end of October 2009.
Service Committee – Malinda Wheeler, Director

Activity

Achievements

Eye Camps

  • The club continues to assist the underserved to eye care and improved site – contribution to blindness eradication by holding annual eye camps.

 

Kaptagat Water and Sanitation Project

  • The club is planning for better water access and improved hygiene in identified communities.  Mainly to complete RCN funded project in Maasai Mara and to implement 2 water and sanitation projects in Nairobi.
  •  The project serves thousands of residents by providing water fetching point, toilets and bathrooms and is managed by residents who charge small fee for its upkeep and maintenance.

 

Wheel Chairs

  • The clubs continues to provide wheel chairs to Improve mobility of those with physical limitations

Mathare and Huruma Rotary Community Corps

(linking efforts to HIV Free Generation)

  • This is ongoing it’s an Incredible entry point to needy communities. Its a Comprehensive program where RCC is mentored by Rotarians. As RCC serve their communities, Rotary is serving them. Grass root and home grown solutions for the urban (and rural) poor. RCN to lead the way as this is taken to scale. Through this effort, Rotary to set the pace in the Partnership for an HIV Generation

Orphan Rescue

  • The Club continues  to provide education, nutrition, & medical support to the most vulnerable & needy children of Mathare & Huruma

Sanitary Towels for Girls

  • The club continues to provide access to sanitary towels helps keep girls in school

Sleeping Children Around the World (SCAW)

  • This is an annual project whereby the club partners with the Canadian charity SCAW to distribute bedkits to children in primary schools and homes. 
  •  This past year the project was recognized by Rotary International as one of the best Cooperative Projects in our District in the year 2008-09.

Rally for the mentally Challenged

  • In conjunction with other Rotary Clubs the club is working with  Increasing awareness of the needs of the mentally challenged & increased visibility of Rotary

Water and Sanitation Project in City Primary Schools

  • Plans are underway to install water tanks at various city primary schools.
  • Water and sanitation blocks will also be constructed.
  • Special toilets for the physically and mentally challenged will additionally be constructed.

 

Jikos

  • The club intends to provide energy saving jikos to various city primary schools to assist in the feeding programme.
  • This will help Students with better nutrition, better health, more alert, can stay in school

 

The Rotary Foundation/International Service Committee – Dan Poenaru, Director

1. Voluntary Service Grants 

  • The club continues to facilitate Voluntary Service Grants for dentists to Kilimambogo Mission Hospital. 
  • The club additionally facilitates Swedish volunteer doctors who practice in various hospitals across Kenya.

2. Ambassadorial Scholarships 

The club sponsored 3 applications for ambassadorial scholarships.

3. Matching Grants

  • The club has continued with the maximum number of allowable matching grants each year, and an average of USD200,000 in grant funds at a time. Two MGs were closed, 2 are ongoing, and there are currently 2 MG applications pending.  One of these will continue without RF funding because of the shortage of RF funds this year.

4. Club Giving

  • The club has added 12 new Paul Harris awards in the current year, and several members are contributing yearly towards Paul Harris awards.

1. Media & Publicity

  • The club is working on feature stories to be published in local newspapers,    Rotary Africa, The Rotarian and the RI website.
  • The media have been invited to cover meetings with prominent speakers in attendance and this has given Rotary media coverage.

2. 2009 World Understanding Day.

  • A prominent personality will be invited as chief guest to ensure maximum participation and publicity.

 

3. Bulletin

  • The club bulletin has been revived and this will act as a platform to disseminate info on the club and its activities.

4. Website

  • Regularly updated with relevant info.

Activity

Progress Report

1.Cultural Lunch

  • The Board has set the goal of raising Kshs.1.5 million.
  • It has panned for a cultural Lunch to be held on 27th September 2009. We shall raise funds from the cover charge; we have invited Rotarians from other clubs to participate.


2. Movie Premier

  • We will hold a fundraiser Movie show, date yet to be confirmed, venue Sarit

 

3. Masaai Mara Marathon

  • This on course and is scheduled to take place on November 7th 2009.

3. Other fund raising events

  • We are exploring other events such as for fun Dinner Dance, Charity walk/Go-Kart racing.

1.Cultural Night

  • The club will host a cultural night in October to enhance bonding within the club. 

 

2. Birthdays

  • The club has introduced the birthdays for members where a member is presented with a cake and a gift during this day.

3. Spouses Birthdays

  • The club has also reintroduced spouse’s day for its members.

2. RCN Sports Day

  • This will be held in 2010.

5. Christmas Party

  • A Christmas party will be held in December where members and their families will be invited.
